
NFEI Regulations
Welcome to North Florida Educational Institute Booster Club, home of the Fighting Eagles. We are so proud of our program, our student-athletes, and our coaches. Our athletes and coaches understand the importance of representing our school well. The focus is on excellent sportsmanship, team work, the development of character, and competitive teams. We follow and incorporate strength of character principles in all that we do. We want our athletes to be able to learn individual responsibility and grow not only as athletes, but as young men and women as well.
NFEI Booster Club Rules 2026-2027
STANDING RULES
These Standing Rules are adopted annually by a majority vote at a General Membership meeting.
Amendments to these Standing Rules require a majority vote of the General Membership.
Legal and Tax Status

The name of this unit is NFEI Booster Club (“NFEI BC”).

This unit is incorporated as a non-profit corporation in the State of Florida. It is the responsibility of the Treasurer to file the annual corporation report with the State of Florida.

This unit complies with all applicable Florida charitable solicitation laws. The Treasurer is responsible for filing any required annual registrations or renewals.

This unit is recognized by the IRS as a 501(c)(3) non-profit, tax-exempt organization. The Tax Identification Number is available upon request.

The Secretary and Treasurer are responsible for filing annual reports and tax returns, maintaining incorporation documents, and keeping an organized legal records file.

In addition to Federal and State laws, the NFEI Booster Club will adhere to policies and regulations set forth by North Florida Educational Institute and any applicable athletic or academic governing bodies.

The Secretary is responsible for recording, distributing, and maintaining minutes for all Executive Board, Board of Directors, and General Membership meetings, and handling official correspondence.
Membership and Fees

Membership fees for this unit will be $50 per family for the current year.

Membership fees may be waived for NFEI employees, coaches, and advisors.

4. All major fundraising activities require approval from the Executive Board.

Programs participating in fundraising must have at least 50% membership in Booster Club.

Teams and clubs may earn funds through concession volunteering; however, earnings are credited only for participating families who are Booster Club members.
Board of Directors and Meetings

Elected officers include: President (or Co-Presidents), Vice President, Treasurer, Secretary, Membership Director, Communications Director, Activities Director, and Members-at-Large.

Positions may be shared (co-officers), each holding one vote.

Officers are elected no later than May, serve one-year terms, and assume duties on July 1.
2. The President/Co-Presidents preside over meetings and fulfill duties as outlined in the Booster Club bylaws.
3. The Board of Directors includes the Executive Board and appointed chairs such as:

Webmaster (Appointed by the President and approved by the Executive Board.)
4. At least two (2) General Membership Meetings will be held each school year.

Board meetings may occur as needed; quorum is a majority of the board.
5. Board members are expected to attend meetings regularly. An officer may be removed after three consecutive unexcused absences.
6. Committees may be formed as needed. The President serves as an ex-officio member of all committees except the Nominating Committee.
Signing Responsibility / Authority

At least three elected officers, including the President and Treasurer, must be listed on the bank account signature card.

All contracts must be signed in advance by two Executive Board members, including the President. Titles must accompany signatures.

The Treasurer may be issued a debit card for approved Booster Club expenses, including:

Administrative costs

Concessions
-
Insurance and legal/tax services
-
Marketing and website expenses

Miscellaneous Booster-related needs
Budget

The annual budget will be prepared by a committee of at least three board members, chaired by the Treasurer, and approved before or at the final General Membership Meeting of the school year.

Unbudgeted expenditures:

Up to $500: Executive Board approval

Over $500: General Membership approval
-
Reallocations up to $1,000 may be made by the Executive Board and reported to members promptly
3. Reimbursement requests must be submitted with receipts within 30 days of purchase.
Financial Review Committee

A Financial Review must be conducted at the end of each fiscal year.

Committee members are appointed by the Executive Board

Individuals with signing authority may not serve on this committee
Nominating Committee

The Nominating Committee, chaired by the Vice President, will be formed and operate according to the Booster Club bylaws.
Best Practices

These Standing Rules shall be reviewed and adopted annually.

Amendments may be made:

By a two-thirds vote, or
-
By a majority vote with prior notice
3. Electronic or phone voting is permitted for officer and nominating committee elections.
4. Meetings may be conducted virtually if in-person meetings are not possible. Minutes must be recorded.
5. Special meetings may be called by the Executive Board or upon written request from 20 or more members.
6. Meeting cancellations due to emergencies will be communicated by the President via email or official communication channels.
